The Administrative Assistant is a point of contact for customers. Answers inquiries and obtains information in response to customer needs. Prepares correspondence and provides administrative support. Conducts day-to-day interactions with customers and coworkers in a manner that exemplifies and supports the Vision, Purpose, and Core Values of the company.




  • Part-time, average of 25 hours/week (hours are somewhat flexible within the hours of 8am-5pm, Monday-Friday)

  • Rate of pay: $18.00-$21.00 (starting wage will be determined based on education, experience, skills and other attributes)



Essential Functions



1. Operator of multi-line telephone system. Answer and route incoming calls in a prompt, accurate manner to support professional handling of communications.



2. Serves as primary back-up to Administrative Secretary. Assist administrative personnel with overflow activities and miscellaneous projects as assigned. This may include billing functions, receiving, and entering customer payments, job order entry, EFT/ACH payments, preparing daily bank deposits, etc.



3. Prepare miscellaneous correspondence for Custom Alarm employees. Assure accuracy and professional appearance. Organize for completion of correspondence and projects by date and time requested.



4. Initiate updates and account changes in Sedona as they pertain to name changes, tax exempt status, billing cycle changes, credits, etc.



5. Handle Sedona Web administration as needed.



6. Retrieve and track customer surveys to obtain Custom Alarm’s monthly NPS score.



7. Manage inquiries that come through Custom Alarm’s Website, Podium, and maintain info@ emails. Forward and/or respond in a timely manner.



8. Attend meetings of the Administrative Department. Attend job related seminars and training classes to continually refresh and update knowledge.



9. Participate in job related training opportunities to continually refresh and update knowledge

Education



1. High School Diploma or equivalent



2. Two-years secondary education, or equivalent combination of education and work experience



Skills Training



1. Experience with multi-line telephone systems



2. Excellent communication skills including written, verbal, and listening



3. Superior customer service skills to deal with both internal and external customers



4. Proficient computer skills including Microsoft Office applications such as Word, Excel, and Outlook



5. Strong attention to detail and accuracy



6. Excellent organizational skills.



Physical Demands

Most of the time is spent sitting with some standing, walking, stooping, and kneeling. Extensive use of a computer screen and keyboard is required. Simultaneous movement of hands, wrists, and fingers is an essential element. Audio, visual, and verbal functions are vital aspects to performing this position. Occasional lifting and carrying may be necessary; however, are not essential functions to performing this job. Weights do not exceed 10 lbs. Occasional driving may be required for the purpose of running errands.



Working Conditions



Most of the workday is spent in a comfortable office environment, using modern office equipment. Occasional after-hours work may be required.



Other Requirements



Regular and reliable attendance is required in this position, as well as the ability to meet deadlines. Due to the security nature of our business, an offer of employment is contingent upon successful completion of a background check and drug test.
